Veterinary Clinic Management Software

From bookings down to ward observations. The entire end-to-end framework drawn from scratch to follow Portuguese vet clinic unique processes.

What custom veterinary practice software is

Custom veterinary practice software handles two linked but distinct entities: the animal, with clinical history, weight, vaccinations and hospitalisation, and the owner, with invoicing, contacts and consents.

That is where it differs from human healthcare software. A system built for people merges patient and payer into one record, and in a veterinary context that forces manual workarounds at every appointment.

What makes it useful

  • Comprehensive clinical sheets (histories, exams, imaging links)
  • Ward cage management tracking patient medical doses continuously
  • Pharmacy integrated stock and internal utilisation sync
  • Preventive deworming pipelines (SMS automated reminders)

Complex Flows in Animal Health

Unlike human medicine, vets track both owners (billing) and patients (species/weight history). Existing systems often block clinics with slow outdated structures and disjointed layers.

Signs the software is slowing the appointment down

  • The vet loses time hunting for history while the animal waits.
  • Vaccinations and deworming are remembered by whoever remembers.
  • In-house pharmacy stock is counted by hand and never matches.
  • Invoicing an appointment with administered medication means entering it twice.

What it integrates with

The system has to connect to everything that happens during the appointment, or paper comes back.

  • Invoicing certified by the Portuguese tax authority
  • SMS and email for vaccination and deworming reminders
  • Imaging and lab equipment, where export is available
  • Payment terminals and pet insurance
  • Animal identification systems, for microchip reading

How the project runs

Four phases. Scope, timeline and price are fixed at the end of the second, and from there on there is no budget revision halfway through.

  1. 01

    Assessment

    30 minutes

We understand the operation, the systems in use and where the manual work sits. Free and with no commitment to proceed.

  2. 02

    Discovery and proposal

    2 to 3 weeks

We map the real process, design the architecture and list the integrations. Scope, timeline and price close here.

  3. 03

    Build

    10 to 16 weeks

Two-week cycles with a demo at the end of each one. You validate every delivery before we move to the next.

  4. 04

    Go live

    1 to 2 weeks

Data migration, team training and documentation. Three months of support included after delivery.

What it costs

We publish the numbers so you can decide before talking to us. These are real ranges from projects we run, not a price list. The exact figure closes in the proposal and does not change halfway through.

Practice with hospitalisation

€30,000 to €45,000

Frequently asked

Yes, where export is possible. Animal records, owners, vaccinations and appointment history are migrated during go-live. Some older veterinary systems have no export, and there migration is done from the database, with the vendor authorisation.
Yes. The record was designed to be used standing and one-handed, because that is how appointments happen. If it forces a trip to the reception computer, paper comes back within two weeks.
Medication administered during the appointment comes off stock and goes onto the invoice in the same action. That double manual entry is usually the biggest margin leak in a practice.
For a single-vet practice with no hospitalisation or pharmacy, an off-the-shelf product does the job. Custom pays off once there is hospitalisation, several practitioners or clinical stock to control.
