What a custom internal portal is
A custom internal portal is a web application built around one company specific process, where each user role sees only what concerns them and where the data comes from the systems the company already uses, instead of being re-entered by hand.
It differs from an off-the-shelf tool in two ways: the business rules are written into the system instead of being worked around with parallel spreadsheets, and the company owns the code and the infrastructure.
What makes it useful
- Role-based dashboards tailored for different departments
- Integration with existing IT infrastructure (ERP, databases)
- Real-time visibility over critical KPIs
- Bank-grade security and GDPR-compliant data handling
The Problem
As businesses grow, off-the-shelf software stops making sense. Trying to force your unique operational model into restrictive SaaS tools ends up costing more in inefficiency than the software itself. Critical data gets scattered across multiple tools, and no one has a unified view of the business.
Signs a portal is missing
- The same information is entered in two or three different places by different people.
- Answering a simple question means asking someone to export a file.
- There are shared spreadsheets nobody knows who maintains, but everyone depends on.
- Giving a partner or a client access means emailing files around.
What it integrates with
An internal portal rarely replaces everything. In most cases it connects to what already exists and replaces only the manual layer in between.
- ERP and invoicing, by API where one exists and by database where it does not
- CRM and sales tools, synchronised in both directions
- Company authentication, including Microsoft Entra ID and Google Workspace
- Document storage in SharePoint, Google Drive or your own server
- Existing spreadsheets, imported once so you start with the history
