Custom Real Estate CRM

We develop exclusive CRM platforms for the real estate sector, automating the sales funnel from lead capturing to deed signing.

What a custom real estate CRM is

A custom real estate CRM is a system built around the real cycle of an agency, from first contact to deed, with the states, deadlines and commission rules of that company rather than those of a generic product.

What sets it apart from a general CRM is treating the property and the client as two linked but distinct entities, and syncing with the portals where listings live, so nobody has to publish the same thing twice.

What makes it useful

  • Sync with real estate portals (Idealista, etc.)
  • Automated follow-ups and reminders for agents
  • Smart commission and billing management
  • Real-time team performance dashboards

The Real Estate Challenge

Losing commissions due to disorganisation? Prospect follow-ups are tracked in Excel or lost notes. The team misses visits and crucial opportunity windows.

Signs the process is costing you commission

  • Client follow-up lives in Excel, on each agent phone or in loose notes.
  • The same listing is published by hand on each portal, with different photos and copy.
  • Nobody knows exactly how many viewings happened this month or how many led to an offer.
  • Commission is calculated at month end and always causes an argument.

What it integrates with

A CRM only pays off when double entry stops. That is why we connect it to what you already use instead of letting it live in isolation.

  • Real estate portals, including Idealista and Imovirtual, with listing sync
  • Invoicing certified by the Portuguese tax authority
  • Email and calendar, so viewings and follow-ups appear where the team already works
  • Digital signature for preliminary contracts and listing paperwork
  • WhatsApp and SMS for viewing reminders

How the project runs

Four phases. Scope, timeline and price are fixed at the end of the second, and from there on there is no budget revision halfway through.

  1. 01

    Assessment

    30 minutes

We understand the operation, the systems in use and where the manual work sits. Free and with no commitment to proceed.

  2. 02

    Discovery and proposal

    2 weeks

We map the real process, design the architecture and list the integrations. Scope, timeline and price close here.

  3. 03

    Build

    8 to 12 weeks

Two-week cycles with a demo at the end of each one. You validate every delivery before we move to the next.

  4. 04

    Go live

    1 to 2 weeks

Data migration, team training and documentation. Three months of support included after delivery.

What it costs

We publish the numbers so you can decide before talking to us. These are real ranges from projects we run, not a price list. The exact figure closes in the proposal and does not change halfway through.

Single-team CRM

€15,000 to €25,000

Pipeline, listings, viewings and commission for one team, with one portal synced.

Multi-team CRM

€25,000 to €40,000

Several teams or offices, distinct commission rules and multiple portals.

Platform with client area

from €40,000

Adds an area where owners and buyers follow the process themselves.

Frequently asked

Yes. Publishing happens once in the CRM and the listing goes out to the portals you have an agreement with, photos and copy already prepared. What changes most often is the portal API, and that is covered by maintenance.
Migrating listings, clients and contact history usually takes one to two weeks inside the go-live phase. What slows it down is always the quality of the source data, not the volume.
It can, but it rarely pays off. Below five or six agents an off-the-shelf CRM usually does the job. The turning point is normally when commission rules or the listing process stop fitting the standard product.
When the sales process is not yet defined. A custom CRM writes down the rules a company already has; if those change every month, the first project is settling them, not automating them.
